VetVoice turns your spoken clinical notes into structured SOAP notes in minutes. Here's how to get started.

Quick Start

1 Sign in with your passphrase
2 Create a new case with the patient's details
3 Tap the record button and dictate your clinical notes
4 Stop recording and tap Submit Recording to transcribe
5 Review the transcription, then tap Generate SOAP Note
6 Copy the SOAP note sections into your medical records

Recording Tips

🎙️ Quiet environment — minimize background noise for the best transcription accuracy.
📏 Mic distance — keep your device 15–30 cm from your mouth.
🗣️ Speak clearly — use a natural pace. Spell out unusual drug names or breeds if needed.
📝 One recording per visit — capture all your notes in a single, continuous recording for the best SOAP output.

Dictation Best Practices for Great SOAP Notes

You don't need to dictate in SOAP order — just cover these topics and the AI will organize them.

Subjective

  • Chief complaint and reason for visit
  • Duration and progression of symptoms
  • Owner's observations at home
  • Appetite, water intake, energy level changes

Objective

  • Vitals: temperature, heart rate, respiratory rate, weight
  • Physical exam findings (body system by system)
  • Lab results or diagnostic findings
  • Body condition score

Assessment

  • Differential diagnoses or confirmed diagnosis
  • Severity or staging
  • Prognosis

Plan

  • Medications prescribed (drug, dose, route, frequency)
  • Procedures performed or recommended
  • Follow-up timeline
  • Client instructions and education

Reviewing & Editing SOAP Notes

Always review AI output — verify accuracy of drug names, dosages, and clinical findings before using.
📋 Copy individual sections — use the copy button on each card to grab just the part you need.
🔄 Re-record if needed — you can add another recording to the same case to capture missed details.

Managing Cases

📁 One case per visit — create a new case for each patient visit to keep records organized.
🎤 Multiple recordings — a case can hold multiple recordings if you need to capture notes in stages.
🗑️ Deleting — delete individual recordings or an entire case from the detail screen. This cannot be undone.
